Why bank statements are high-sensitivity documents

A bank statement can reveal a person's name, address, account details, salary, benefits, spending habits, debts, subscriptions and relationships with other organisations. For a business, it may reveal customers, suppliers, cash position and commercial patterns.

Because statements contain structured financial information, they can be useful to fraudsters and intrusive if seen by the wrong person. Treat them as high risk even when the request for them is routine.

Check the request before sending

Confirm why the recipient needs the statement, exactly which date range is required and whether redaction is acceptable. An accountant, lender, landlord or adviser may only need selected pages or a summary of transactions rather than a full account history.

Make sure the request came through a trusted channel. If the request arrived by email, verify it with the organisation using known contact details before sending.

Reduce unnecessary data

Where appropriate, redact transactions, balances or account references that are not needed for the purpose. Do not remove information that the recipient legitimately needs, but avoid sending more than the request requires.

Name the file clearly so the recipient can identify it without you adding sensitive details into the email subject line. Avoid including full account numbers in filenames.

Use a secure sharing route

Upload the statement to a secure document sharing platform, use encryption, send a controlled link, set a short expiry window and add recipient verification for higher-risk situations. Avoid sending the PDF directly as an email attachment.
